The TFEA Annual Convention and Trade Show registration opens on July 1, 2026.

Because many of our exhibitors return year after year, only a limited number of new exhibitor spaces become available. Attendee bags are distributed to all conference attendees at registration, providing exhibitors with an additional opportunity to introduce their company before attendees even enter the Trade Show.

Guidelines

  • One (1) professionally printed, full-color insert per exhibitor
  • Exhibitors must provide 300 copies
  • Materials must be received by Friday, October 23, 2026, at 5:00 p.m. (CT)
  • Materials received after the deadline cannot be guaranteed for inclusion in attendee bags

Special TFEA Room Rates as low as $212/night
The room block closes at 11:59 pm on October 16, 2026.

All room reservations must be made prior to October 16th to receive the discounted conference rate.

Insurance Requirements

To participate in the TFEA Trade Show, all exhibitors must provide a Certificate of Insurance meeting the following requirements:

  • Commercial General Liability coverage with limits of at least $1,000,000 per occurrence
  • Coverage must be written on an occurrence policy form
  • The Texas Festivals & Events Association (TFEA) must be listed as an Additional Insured
  • Certificates of Insurance must be received by Friday, October 23, 2026

Failure to provide the required Certificate of Insurance by the deadline may result in your inability to exhibit at the conference.

Exhibitor Service Kit

Once your booth registration and payment have been received, TFEA will provide an Exhibitor Service Kit containing everything you need to prepare for the conference.

Your Exhibitor Service Kit will include important information such as:

  • Move-in and move-out instructions
  • Shipping and receiving details
  • Booth setup information
  • Hotel and venue guidelines
  • Important deadlines
  • Conference logistics and exhibitor resources
