The TFEA Annual Convention and Trade Show registration opens on July 1, 2026.

Because many of our exhibitors return year after year, only a limited number of new exhibitor spaces become available. We encourage interested companies to apply early for the best selection of booth locations and maximum exposure. Your exhibitor package includes everything you need to showcase your organization and connect with Texas' leading event professionals.

One (1) 8' × 10' exhibit booth
Booth setup with 8' flame-retardant backdrop, 3' side drapes, one (1) 6' draped table, and two chairs
One (1) full conference registration, including access to educational sessions, networking events, and conference meals
Company listing with your logo and website link on the TFEA website
Opportunity to include one promotional item in the official attendee gift bags (300 items provided by the exhibitor)

Important Exhibitor Information

Insurance Requirements
All exhibitors are required to provide a Certificate of Insurance evidencing Commercial General Liability coverage with minimum limits of $1,000,000 per occurrence. Coverage must be written on an occurrence policy form and name the Texas Festivals & Events Association (TFEA) as an Additional Insured. Certificates must be received no later than October 23, 2026.

Exhibitor Services & Move-In Information
Once your booth registration and payment have been received, you'll receive a comprehensive Exhibitor Information Packet with important deadlines, move-in instructions, shipping information, and other details to help you prepare for a successful conference.

Cancellation Policy

100% Refund: Cancellation received on or before September 28, 2026, by 5:00 p.m. (CT)
50% Refund: Cancellation received between September 29 and October 23, 2026, by 5:00 p.m. (CT)
No Refunds: Cancellations received after October 23, 2026, at 5:00 p.m. (CT)

Shipping & Receiving:

The DoubleTree by Hilton Austin will accept and store exhibitor shipments received within one (1) week prior to the conference start date.

Before shipping any materials, please complete the required Shipping Form and notify the hotel of your incoming shipment. Additional shipping instructions and forms will be provided in your Exhibitor Information Packet following registration.

Registration

Each booth rental includes one full conference registration, which entitles one person to attend conference educational sessions, meals and receptions. Additional full conference registrations can be purchased as well.

All room reservations must be made prior to October 16th to receive the discounted conference rate.

Insurance Requirements

To participate in the TFEA Trade Show, all exhibitors must provide a Certificate of Insurance meeting the following requirements:

Commercial General Liability coverage with limits of at least $1,000,000 per occurrence
Coverage must be written on an occurrence policy form
The Texas Festivals & Events Association (TFEA) must be listed as an Additional Insured
Certificates of Insurance must be received by Friday, October 23, 2026

Failure to provide the required Certificate of Insurance by the deadline may result in your inability to exhibit at the conference.

Exhibitor Service Kit

Once your booth registration and payment have been received, TFEA will provide an Exhibitor Service Kit containing everything you need to prepare for the conference.

Your Exhibitor Service Kit will include important information such as:

Move-in and move-out instructions
Shipping and receiving details
Booth setup information
Hotel and venue guidelines
Important deadlines
Conference logistics and exhibitor resources
